Workwhile - Process analysis and design to increase efficiency and effectiveness 

Project summary

The aim of the project is to review these processes and suggest efficiencies. As a new charity that has been operating independently for less than a year, there are several processes that are undertaken daily that could potentially be improved or automated to free up resource for other work.

How will this project benefit the organisation?

Workwhile’s vision is to create an equitable world of work and support young people into good work. By simplifying internal processes, they will be able to support more SMEs to begin offering apprenticeships that are crucial to reducing the NEET population in England, a stat that is sadly currently rising.

This project will allow the organisation to more quickly secure funding for apprenticeships, grow the number of apprenticeships available, and ultimately support more people into good work.

Time commitment: The time commitment will be agreed between the volunteers and organisation when completing the project proposal.

The project is likely to require more time at the start to understand processes, talking with team members and understanding the organisation’s work.

Timeframe: The project will ideally launch in June and be completed by September 2026.     

Location:This project will be completed remotely. 

Project description

Workwhile is seeking a volunteer to review and map their day-to-day processes to identify efficiencies in process pathways, methods/tools utilised and staff time.

Some examples of where process pathways could be improved:

  • Through the levy transfer process, Workwhile support the distribution of unspent apprenticeship levy from larger organisations to fund apprentice training in SMEs. This is currently a manual process involving transferring data between Salesforce, Word documents, and Excel spreadsheet. The organisation would like to understand where efficiencies could be realized through streamlining or automation to improve and expedite these processes.
  • Workwhile would also like the volunteer to examine their other processes, such as signing up for and booking coaching sessions in their DevelopMentor training.

Success will look like:

The desired outcome of the project is to gain suggestions for improvements to current processes where time and effort can be reduced to allow staff to focus on other beneficial work.

This will help the organisation understand and improve manual processes and reduce the time it takes to transfer levy funds.
